PSCF Event Terms and Conditions

In exchange for payment in full, the Physicians Society of Central Florida (PSCF) agrees to provide the sponsorship or exhibit benefits.

1. Exhibit and Sponsorship Details

  • Each sponsor will be provided with table or space in the event venue.
  • Any costs for electricity, internet access, or special setup requirements are the sole responsibility of the exhibitor and must be coordinated with the venue.
  • If shipment of materials is necessary, the sponsor/exhibitor must arrange all shipping, handling, and return shipments directly with the venue.

2. Representative Attendance

  • Only employees of the sponsoring company may attend and represent the organization at the event.
  • Guests who are not physicians are not permitted to attend PSCF events unless specifically invited by PSCF.

3. Payment and Cancellation Policy

  • Payment in full is required at the time of application.
  • If a sponsor or exhibitor cancels after submitting payment, 50% of the contracted amount will be refunded if written notice of cancellation is received at least 30 days prior to the event.
  • If PSCF has already incurred related expenses at the time of cancellation, those costs will be deducted from any refund due.
  • No refunds will be issued for cancellations received less than 30 days before the event or for no-shows.
  • All cancellations must be submitted in writing to PSCF.

4. Liability and Indemnification

  • PSCF and the event facility assume no responsibility for loss, theft, or damage to property belonging to sponsors, exhibitors, their employees, or representatives.
  • Sponsors and exhibitors agree to hold harmless and indemnify PSCF from any claims, damages, liabilities, or legal expenses arising from participation in the event.
  • Each sponsor or exhibitor is responsible for the safety and security of their own property.

5. Event Modifications and Force Majeure

  • In the event the program cannot be held due to fire, strikes, government regulations, acts of God, or other causes beyond PSCF’s control, all payments will be refunded, and the agreement will be considered canceled without further obligation by either party.

6. Sponsorship Conduct

  • If offering a raffle prize or attendee drawing, sponsors must clearly disclose any conditions related to the prize (e.g., product demonstrations or follow-up meetings).
  • Failure to deliver or honor a prize that has been offered or promoted will result in immediate disqualification from future PSCF events and sponsorship opportunities.
  • PSCF reserves the right to refer such matters to the Board of Directors for review and to impose additional restrictions on future participation if warranted.

7. Agreement and Acceptance

Submission of the sponsorship or exhibit application constitutes acknowledgment and acceptance of these Terms and Conditions.

The agreement becomes effective upon written email confirmation from a PSCF representative.

PSCF does not guarantee a specific number of attendees.
All sponsorship agreements are subject to review and approval by the PSCF Board of Directors.
Disapproval of an application will result in termination of this agreement without penalty to either party.
All disputes arising from this agreement shall be governed by the laws of the State of Florida.
