TERMS AND CONDITIONS
In exchange for payment in full the Physicians Society of Central Florida (PSCF) provides the benefits as outlined on the prospectus.
Neither PSCF nor the facility assumes responsibility for damage to, loss, theft of property of the sponsors, the sponsors’ agents, employees, or invitees.
Payment in full is due by December 15, 2026 and after this date at the time of application. In the event that you cancel sponsorship, 50 percent of the contracted amount will be refunded to the company if PSCF receives notice of cancellation by January 1, 2027. If a sponsorship is cancelled after PSCF has incurred associated costs the costs incurred to PSCF will also be deducted from the amount to be reimbursed. After January 1, 2027 there will be no refund of sponsorship payment. All sponsorships cancellations must be submitted in writing to PSCF. No-shows are not eligible for refunds.
In the event of failure or inability to fulfill this contract or to furnish the space due to fire, strikes, authority of the law, act of God, or any other cause or reason, PSCF agrees to return to the sponsor all deposits or other monies paid and thereupon this agreement shall be deemed canceled by mutual consent, and PSCF shall be relieved from all responsibility.
Sponsor agrees to be responsible for his/her own property. Sponsor release, hold harmless and indemnify PSCF from any and all claims, obligations, liabilities, causes of action, lawsuits, damages and assessments, including legal fees that result from an allegation of negligence on the part of the sponsor or PSCF or third parties in the use of the event space or activities in connection with the use of event space.
No sponsorship events outside of approved PSCF events are allowed at the facility unless approved prior by PSCF.
If the sponsor furnishes a raffle prize or drawing for attendees, any intention to condition the winning prize on a future meeting or product demonstration must be clearly stated to the attendee prior to the attendee providing contact information. Failure to provide notice or follow through with delivery of the prize may subject the sponsor to review by the Board of Directors and restrictions on future participation in PSCF events.
The acceptance of the Terms and Conditions in the application acknowledges receipt of and agrees to abide by the Rules & Regulations as published by the association which regulations are considered to be a part of the agreement between the commercial supporter and the Physicians Society of Central Florida (PSCF) if this application is accepted by the PSCF. Acceptance of this application as an agreement between the commercial supporter and the PSCF will occur when email confirmation occurs by an PSCF representative.
PSCF does not guarantee the number of attendees. It is understood that all sponsorship agreements are subject to review by the Board of Directors. It is agreed that disapproval of an exhibit by the Board of Directors will result in termination of the agreement without penalty to either party. All claims or suits arising out of the application’s acceptance or rejection shall be governed by the laws of the State of Florida.
To ensure a smooth guest experience and avoid empty seats, all sponsors must provide the full names and email addresses of their confirmed guests no later than (15) days prior to the event. This information is required so that the Physicians Society of Central Florida (PSCF) can deliver important event communications, seating details, and logistical updates. Failure to provide guest information by the deadline may result in unassigned or forfeited seats without refund or reassignment.
