Terms & Conditions

Participation in the PSCF Vendor of Choice Program is subject to the following terms and conditions. These guidelines are intended to ensure a high-quality experience for members and participating partners.

1. Program Approval

  • Participation in the Vendor of Choice Program is subject to review and approval by the PSCF Board of Directors.
  • PSCF reserves the right to approve, deny, or discontinue participation at its discretion if a partner’s offerings, conduct, or materials are deemed inconsistent with PSCF’s mission or member interests.

2. Partnership Term

  • Vendor of Choice benefits are provided for a 12-month term beginning on the effective date of the agreement.
  • Benefits must be used within the contracted term and do not roll over unless otherwise agreed in writing.

3. Category Exclusivity

  • Exclusivity does not prohibit PSCF from maintaining relationships with other organizations that may offer overlapping or complementary services outside the designated category.
  • Exclusivity is contingent upon the partner remaining in good standing and fulfilling program obligations.

4. Standalone Email Campaigns

  • Includes up to three (3) dedicated email distributions during the partnership term.
  • Email requests must be submitted at least 30 days in advance of the requested distribution date.
  • All email content is subject to PSCF review and approval and must align with PSCF standards and audience relevance.
  • Final content, graphics, and links must be provided by the partner no later than 15 business days before deployment.
  • Email scheduling is subject to PSCF’s editorial calendar and may be adjusted based on organizational priorities.
  • Unused email distributions expire at the end of the term.

5. Newsletter Articles, Spotlight Features & Case Studies

  • Content must be educational, informational, and non-promotional in nature.
  • All submitted content is subject to editorial review, editing, and approval by PSCF.
  • Placement and timing are subject to available newsletter schedules and editorial discretion.

6. Webinar or Podcast Benefit

  • Partners may select one (1) option: webinar promotion or sponsored podcast feature.
  • Content and promotional materials are subject to PSCF review and approval.
  • Production, speakers, supporting materials, and recording content are the responsibility of the partner unless otherwise agreed.
  • Scheduling is subject to PSCF programming availability.

7. Website Listing & Dedicated Landing Page

  • Vendor of Choice partners receive a standard listing on pscfl.org and a dedicated partner landing page.
  • Partners may provide approved materials such as:
    • Website links
    • Videos
    • White papers or downloadable resources
    • Contact information
    • Service descriptions

Landing Page Updates

  • Landing page content may be updated up to four (4) times per year (quarterly).
  • Update requests will be implemented during PSCF’s scheduled quarterly update cycle.
  • Requests outside of quarterly update periods may be deferred to the next scheduled update.
  • Partners are responsible for submitting all revised materials by deadlines provided by PSCF.

8. Content Approval

  • All materials associated with this program, including emails, website content, digital assets, articles, social posts, and promotional materials, are subject to PSCF review and approval prior to publication.
  • PSCF reserves the right to request revisions or decline materials that do not meet content standards.

9. Partner Responsibility / Benefit Utilization

  • Vendor of Choice partners are responsible for actively utilizing their benefits and providing requested materials in a timely manner.
  • PSCF will provide benefit timelines and submission deadlines; partners are expected to manage participation accordingly.
  • PSCF is not responsible for repeated follow-up or pursuing partners to utilize unused benefits.
  • Failure to submit materials or respond within stated timelines may result in forfeiture of that benefit opportunity without refund or extension.

10. Social Media Recognition

  • Social posts are scheduled at PSCF’s discretion based on content calendar availability.
  • Content and graphics must be submitted in advance and are subject to approval.

11. Advertising Discounts

  • Advertising discounts apply only to published rate card pricing and available inventory.
  • All advertising placements are subject to PSCF approval and deadlines.

12. Event Sponsorship Right of First Refusal

  • First right of refusal applies to eligible PSCF networking events, subject to availability.
  • Sponsorship opportunities are offered at PSCF’s discretion and may vary by event.
  • Discount applies to standard sponsorship pricing and may not be combined with other discounts.

13. Use of PSCF Preferred Partner Badge

  • Use of the digital badge is limited to active Vendor of Choice partners in good standing.
  • Badge may not be altered or used in a manner suggesting endorsement beyond program participation.
  • Badge usage must cease upon expiration or termination of participation.

14. Payment

  • Full payment is due upon execution of the agreement unless otherwise specified.
  • Fees are non-refundable.

15. Program Modifications

  • PSCF reserves the right to make reasonable modifications to program benefits, scheduling, policies, or terms as needed, while maintaining the overall value of the partnership.

Participation in the PSCF Vendor of Choice Program signifies acceptance of these terms and conditions.
